Privacy notice

Who is responsible for your information

Voice and Justice Alliance Ltd (VJA), company number NI741767, is the data controller for personal information used in our work. You can contact us at info@voiceandjusticealliance.co.uk.

You can also view our public company record on Companies House.

What information we may collect

  • Your name, email address, organisation and the content of messages you send us.
  • Information needed to manage partnerships, events, research, consultations, funding, media or policy work.
  • Records of consent, preferences and our correspondence with you.
  • Technical security information needed to keep the website reliable. We do not currently use visitor analytics or advertising trackers.

Please do not send sensitive case files, identity documents, health records or detailed accounts of abuse through the website. Contact us first so that we can agree a safer way to communicate.

How the website contact form works

The form on our homepage sends the details you provide to VJA through FormSubmit, a third-party form-delivery service. FormSubmit processes the information to deliver your message to our info@voiceandjusticealliance.co.uk mailbox. The website does not keep a separate copy of the form submission.

Only submit information needed for your enquiry. Do not use the form for sensitive case files, evidence, health information or detailed accounts of abuse.

Why we use information

We use personal information to respond to enquiries, carry out policy and engagement work, organise participation, manage relationships, meet legal duties and protect people and the organisation. Depending on the activity, our lawful basis may be legitimate interests, steps towards or performance of a contract, legal obligation, consent or a task in the public interest.

Where work involves special-category information, such as health information or lived experience of abuse, we will identify an additional lawful condition and explain it to participants before collecting that information.

Sharing, storage and retention

We share personal information only when needed, for example with FormSubmit for contact-form delivery; trusted email, hosting or professional service providers; delivery partners where you have been told; advisers; or public authorities where disclosure is legally required or needed to protect someone from serious harm. We do not sell personal information.

Routine enquiries are normally reviewed and deleted within 24 months of the last meaningful contact. Contractual, financial or legally significant records may be kept for up to six years. Sensitive engagement material is kept only for as long as the stated purpose requires and is subject to additional access controls.

Some technology providers may process information outside the UK. Where that happens, we use recognised safeguards required by data-protection law.

Your rights

Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, portability or object to how it is used. You may also withdraw consent where consent is the basis for processing. Email us to exercise a right; we may need to confirm your identity.

If you are unhappy with our response, you can complain to the Information Commissioner’s Office.

Children, external links and changes

This general website is not designed to collect information directly from children. Any work involving children or young people will use activity-specific safeguarding and privacy arrangements. Links to other organisations are governed by their own privacy notices.

We will update this notice when our services or information practices change and show the review date at the top of the page.
